Introduction to Project Management

"A project is a string of activities or process which originates from an idea and concludes with the delivery of the product from that idea".

Project Management is one of Datavia's core areas of experise.
Professional Project Management facilitates the successful completion of a project based on the following Success Criteria:

  • within Budget
  • meeting or exceeding specified Quality
These are the three areas where the outcome of the project is measured.
Whether the customer and/or the user is happy with the end result is what ultimately counts.

Pre-Project

The pre-project phase leads up to the actual project. This is the time when an idea pops up and is discussed. This may be a new product to be sold by the company or a solution to a business process in the organization.
Brain storming sessions start to formulate what the product will look like. Preliminary investigations lay down the requirements and formulate risks and issues.

For larger products or processes a mini project may be started just for this pre-project phase.
The outcome of this mini project and/or the pre-project phase is the go ahead and request for a project.

A project proceeds via the following phases:

Concept Development

The initial phase of the project expands on the project request from the client. This phase develops customer wishes into customer requirements.
Based on the requirements a cost estimate is produced. With this cost estimate and calculated benefits a budget is requested. After approval by the appropriate committee the formal go ahead is given for the project.

Planning

In order to come up with an accurate time planning and appropriate resource scheduling, the work is broken down in small manageable parts. This WBS is the basis for the scheduling of the project. This leads to the project plan and the definition of the project planning tools.
The WBS is the "what" needs to be done, the project plan tells us "when" it needs to be done and by whom. The project management tools will record "how" we are doing.

Development

The execution of the project consists of development and implementation.
Development creates the product and the necessary organization and tools and documentation for users and support organization are produced.

Implementation

During the implementation phase the product is being installed and the organization is created or modified. The users and support organization are being trained.

Acceptance

During all phases appropriate testing takes place. During the acceptance phase final acceptance testing is done. This includes the working of the product/system as well as the supporting tools and documentation. Acceptance may include the signing of a Service Level Agreement defining what the performance of the system needs to be and what response times of the support organization will be in case of malfunctions.

This phase may be followed by decommissioning and removing the system that was being replaced.

The acceptance of the system represents the end of the project. Cleaning up after the project includes documentation of lessons learned, archiving of all project documentation and a final report stating the end results in terms of achievements and budget.
